Job Description

Main Role
The role holder shall be responsible for assisting with the delivery of day to day HR services in the organization, and implementing basic operating policies and procedures to ensure efficiency and effectiveness of the HR department.

Key Accountabilities

Support staff recruitment and on-boarding in the following areas:

  • Ensuring that requests for staff engagement is in line with workforce plans
  • Development of an HR database for applications;
  • Tracking all recruitment activities;
  • Facilitating interviews and other forms of assessment
  • Communication with candidates including supporting in the drafting of contracts of employment;
  • Creation of personal files for all new staff
  • Supporting the HR Manager in providing new employee orientation for all new starters and ensuring that the requisite materials are availed.
  • Administering the probation processes
  • Creating and updating the company’s organogram

Provide support in staff Performance Management and skills development

  • Ensure that accurate job descriptions are in place
  • Track progress on staff completion of objectives/KPIs
  • Assist with the implementation of the performance management cycle

Support the organization’s learning and development culture by:

  • Collating learning needs from individuals’ appraisals
  • Assist with the identification and analyses of staff training, development and career support needs

HRIS and Staff data systems management

  • Create and set up new employee details in company’s HRIS
  • Ensure that HR database is up to date, accurate and complies with legislation.
  • Provide systems training to staff on employee self-service
  • Generate reports from the HR system periodically as required

Assist in attending to employee relations activities:

  • Assist with the administration of employee absence through the tracking and maintenance of leave and attendance register
  • Assist with the administration of disciplinary and grievance process
  • Assist with the administration of staff welfare programmes
  • Assist with the development and implementation of human resource policies, procedures and programs.
  • Respond to inquiries regarding policies, procedures and programs

Payroll:

  • Support payroll administration including the issuing of payslips to staff
  • Following up on issues relating to payments to staff.

Assists with various research projects and/or special projects

Supports HR department in all other areas as and when needed.
